In short. We run two Discord bots in our own communities. One of them, VANGUARD, reads messages so it can enforce the server rules and give moderators enough context to act. We keep only what moderation actually needs, and we never sell or rent your data, use it for advertising, build profiles about you, share it with third parties, or use it to train AI models.

What this policy covers

Two bots: VANGUARD, our moderation bot, and the Riftcord Community bot. Each is described on its own below, because they handle very different amounts of data.

VANGUARD, the moderation bot

What it does

VANGUARD helps with enforcing the server rules, preventing abuse, and keeping moderation records.

How it uses your information

VANGUARD uses message content (the text of what is posted, and any attachments) and server member information (when someone joins, leaves, or has their roles or nickname changed). It uses both only to keep the server safe and enforce its rules, which includes:

• detecting spam, flooding, and known scam patterns in text and images
• enforcing content and channel rules, including emoji, mention, and reaction limits, and keeping restricted content out of general channels
• giving moderators the context they need to act, by showing a flagged message and a little of the surrounding conversation
• keeping moderation consistent over time, so restrictions and role or nickname rules hold even if someone leaves and rejoins
• detecting and responding to raids

Beyond the messages themselves, it only needs your user ID, which server you are in, your roles, your nickname, the time, and whether you currently have a restriction.

What we store outside Discord

• Moderation records: your Discord user ID, the server, the type of action, why it was issued, when it starts and ends, who issued it, the channel it happened in, and the message that caused it. That is the only message content we save.
• Moderator notes: notes about a member, written by a moderator or the bot itself. A note can be marked global and shared between the servers we operate, since they are moderated by the same team. This is used only to coordinate moderation decisions across those servers.

What stays inside Discord

Some things are logged where they happened, in the server's own log channels, so that moderators can see them. This stays inside Discord and is not copied to our systems:

• when a message is edited, its content before and after
• when a message is deleted, its content and who deleted it
• when a message is flagged as suspicious, the message and the channel it was in
• when someone changes their server nickname, the old and the new name

This means a deleted or edited message can still be seen by that server's moderators, but only if it was recent. Older messages are no longer held by the bot, so editing or deleting one leaves nothing behind.

How long we keep it

We keep moderation records, and the message saved with them, for as long as we need that server's moderation history. The point of a record is that it still applies if you come back, and that a moderator can look up why an earlier decision was made, so we keep it for as long as it stays relevant to that server, rather than deleting it on a fixed schedule.

Riftcord Community bot

What it does

The Community bot manages voice channels, message reports, and other community features like news and info updates.

What it can see and stores

The Community bot cannot read your messages, and nothing about you is stored. It can tell that a message was posted in a channel, which is how it knows when a channel is busy, but not what the message said. Whether you report a message or create a voice channel, that information is only processed at the time and is never saved.

Security

We use reasonable technical and organizational measures to protect your information against unauthorized access, loss, misuse and alteration. No system can be completely secure, and we cannot promise absolute security.

Your rights

You can ask us what we hold about you, or ask us to delete it. We will act on these requests, except where a moderation record is still needed to keep our communities safe, then we will keep it and tell you why, rather than let a restriction quietly disappear. If you think a record is wrong, you can appeal it in the appeals server.

Moderation can't be switched off, since it applies to everyone in the server. The Community bot only acts when you use one of its features. You can limit what the bots see in future by leaving the servers they take part in.

How to contact us

Open a ticket in the community server you are in, or reach us through our appeals server at itiraz.riftcord.com. Please include your Discord user ID and the ID of the server it relates to, so we can find the right records. We may ask you to confirm the account is yours first, so nobody else can make a request in your name.

Changes to this policy

If we change how the bots handle data, we will update this page and change the date at the top.
